Creating a Work Order in GEMS®

Using a web browser, navigate to GEM via https://dashboard.keyprprod.com and then login with your GEMS credentials. If you do not have an account in GEMS, please get with your manager to have one created for you.

After logging in to GEMS, select the “Work Orders” option on the left side of the screen. The icon for Work Orders is a clipboard.

Select the “+” sign on the right side of the screen to begin generating a new work order.

In the Locations box, input the location where the work order is to be completed. Note: There can be more than one location. Simply hit the enter/return key on your keyboard after inputting each location. If there isn’t a specific location, simply select the “No Location” box.

Select the down arrow next to “Priority” to select an appropriate priority.  Your options are Normal, High and Immediate.

Select the down arrow next to “Department” to select an appropriate department. The default choices are Housekeeping and Maintenance, however, INTELITY can add more departments if necessary.

Select the down arrow next to “Type” to choose from a list of types/categories that best describes the work order.

In the “Summary” section, input a brief summary of the problem.

Enter a description of the work in the “Description” section.

Enter any special instructions, if applicable, in the “Special Instructions” section as well as select a due date and time.  If a due date is to be determined, then select the “Due Date TBD” box.

Afterwards, select “Submit.”

Afterwards, you will see the Work Order Detail page for you to review.  If the information is accurate, select the “Back to Work Orders” option at the bottom of the screen.

If changes to the work order needs to be made, then select the “Edit” option and then make the necessary corrections.

Once the corrections are made, select the “Update” option at the bottom of the screen.

Your work order has now been created and should be clearly visible in the initial Work Orders page as depicted below.
